Emburse Delegate Guide
Emburse Enterprise users can assign delegates, sometimes known as proxies, to create and monitor expense reports and pre-approvals on their behalf.
⚠ It is important to point out that delegates DO NOT have the ability to approve reports for their delegatee. The delegate will receive copies of any e-mail notifications regarding rejection or adjustment of reports created for the user.
Categories of other types of delegates
- A Super Delegate serves as a delegate for everyone in the company/organization, without each individual user having to specifically grant delegation access.
- If company-wide access is not appropriate, the Super Delegate role can be configured to be restricted based on a particular profile attribute.
- Rather than see a list of names underneath their name, the Super Delegate is presented with a searchable selection list to find the employee they wish to delegate to.
- An approval delegate is someone a user can assign to approve expense reports on their behalf.
- This delegation is a temporary assignment which allows the user to approve expenses and pre-approvals while the user is on vacation.
- Approval delegates will receive the approvals directly to their approval dashboard.
Key responsibilities & limitations
A regular delegate can create and edit expense reports, but they cannot submit them; the person seeking reimbursement must still log in to officially submit the report for processing.
Delegates receive copies of email notifications regarding any rejections or adjustments made to reports they created for you.
Add or remove delegates
This training explains how to add, edit or remove a Request/Expense Delegate who can have visibility to your travel and expenses. If you are a P-Card holder, you want to be sure to add your assigned liaison as your Delegate in Concur.
1 Locate the Request Delegate or Expense Delegate link in the Profile Settings page.
Changing information in one of these sections automatically applies the changes to the other. They are connected lists.
From the Concur Home Page:

- Select Profile > Profile Settings.
- Select Request Delegate or Expense Delegate from the left-hand menu bar.
2 Click Add to add a user as a delegate in either the Request or Expense Delegate section.
3 Begin typing either the employee's name, email address or employee ID. Once your choice appears, click the name, then click add.
4 Select Appropriate Permissions and Save.
Check the boxes that apply:

| Can View Receipts | Allows delegates to view receipts that the user has uploaded. |
| Can Use Reporting | Allows delegates to access reports based on employee activity in Concur. |
| Receives Emails | Allows the delegates to see email notifications that the user receives. |
| Can Approve | Allows delegates to approve reports on the user's behalf if the user is an approver (supervisor/budget approver). |
| Can Approve Temporary | Allows delegates to approve reports temporarily if the approver is out of office without access to Concur. |
| Can Preview for Approver | Allows delegate to see reports but not approve them (read-only). |

- Once all desired choices have been selected, click Save.
- Users can also be deleted from this section by selecting the check box next to their name and clicking Delete.
